1 Billion Followers Summit ("1BFS," "the Summit," "we," "our," or "us"), organized in the United Arab Emirates, is committed to safeguarding the privacy and security of personal data collected from participants, speakers, creators, sponsors, exhibitors, and online visitors.

This Privacy Policy sets out the framework under which we collect, process, store, disclose, and protect personal data in compliance with UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data ("UAE PDPL") and, where applicable, international regulations such as the EU/UK General Data Protection Regulation ("GDPR").

By registering for, attending, or interacting with the Summit, its associated apps, websites, or digital ecosystems, you acknowledge the practices described in this Policy.

    - Identity & Contact Data: Full name, nationality, passport details (where required for official invitations or security clearances), email address, phone number, job title, company/organization, social media handles, and profile metrics.

    - Transactional & Financial Data: Billing details, transaction histories, and ticket processing records. Full payment card processing is handled securely by certified third-party payment service providers (PSPs); 1BFS does not store complete payment card credentials.

    - Event Participation & Interaction Data: Attendance records, session RSVPs, entry logs, competition/award submissions (e.g., the 1B AI Film Award), speaker engagements, and venue access metrics.

    - Digital & Technical Telemetry: IP addresses, device identification, browser types, operating systems, session interactions, and app usage analytics collected automatically when accessing our website or official event apps.

    - On-Site Media & Visual Captures: Photographs, audio recordings, visual footage, and broadcast streams recorded throughout the Summit venue and associated activities.

    - Badge Scanning & Exhibitor Data: Information exchanged when you permit your physical or digital badge to be scanned by sponsors, exhibitors, or venue access systems.

2. Legal Bases and Purposes of Processing

We process personal data strictly in accordance with applicable laws under the following legal bases: contractual necessity, legal compliance, legitimate commercial interests (operating a secure, world-class global event), and explicit consent (where required).

Your data is processed to:

    - Administer registration, identity verification, ticketing, badge issuance, and physical/digital venue security.

    - Facilitate event operations, networking platforms, matchmaking algorithms, and speaker/creator scheduling.

    - Manage awards, competitions, and accelerator programs, including submission evaluations and prize fulfillment.

    - Protect the physical safety, digital infrastructure, intellectual property, and legal rights of 1BFS, attendees, and partners.

    - Conduct post-event analytical reporting, platform optimization, and audience engagement measurement.

    - Send essential operational updates, safety alerts, and, subject to your communication preferences, promotional materials regarding future editions or affiliated initiatives.

Our website and app track user data to enhance your experience and optimize our services. We use the following tools:

Types of Data Collected:

    - Device Information: Browser type, operating system, and device model.

4. Badge Scanning, Sponsors, and Third Parties

    - Exhibitor & Sponsor Scans: Presenting your event badge for scanning by a sponsor or exhibitor at the Summit constitutes your direct instruction and consent to share your identity and contact details with that third party. 1BFS acts solely as the facilitator; once scanned, the processing of your data is governed entirely by the third party’s privacy policy. 1BFS expressly disclaims all liability for third-party processing resulting from voluntary badge scans.

    - Third-Party Service Providers: We engage vetted vendors to support IT infrastructure, ticketing systems, event apps, security operations, and analytics (including Google Analytics 4 and Microsoft Clarity). All service providers are bound by strict contractual data protection and confidentiality obligations.

    - Legal Disclosures: We reserve the right to disclose personal data to law enforcement, government entities, regulatory authorities, or legal counsel when mandated by law or necessary to enforce our legal rights and venue regulations.

5. On-Site Media, Photography, and Crowd Filming

The Summit takes place in public and semi-public spaces recorded via photography, video, audio, and live webcasts.

    - By entering the venue, you acknowledge that 1BFS and authorized media partners may capture your image, likeness, voice, and presence in event recordings.

    - 1BFS holds full global rights to use, edit, publish, and distribute such media for promotional, archival, broadcast, and news purposes across all channels without royalty, compensation, or separate approval, except where prohibited by applicable law.

6. International Data Transfers

1BFS operates from the United Arab Emirates. Personal data collected globally may be stored, hosted, or processed inside the UAE or transferred to trusted cross-border servers and vendors.

Where data is transferred outside the UAE, 1BFS enforces contractual protections, Standard Contractual Clauses (SCCs), or statutory adequacy mechanics under the UAE PDPL and international standards to ensure an equivalent standard of security and data privacy.

7. Data Retention and Security

    - Security Safeguards: We enforce robust administrative, physical, and technical measures—including transit/rest encryption, strict access controls, and boundary defenses—to protect data against loss, unauthorized access, or disclosure. However, no online transmission or physical venue environment can guarantee absolute security.

    - Retention Limits: Personal data is retained only for as long as necessary to fulfill event management, analytical, and archival purposes, or to comply with statutory retention laws, regulatory directives, and legal dispute resolution protocols.

8. Cookies and Tracking Technologies

Our digital platforms utilize essential, functional, and analytical cookies to ensure system stability and optimize user experiences. You may adjust browser preferences to restrict cookies, though certain interactive features or registration portals may experience reduced functionality as a result.

9. Data Subject Rights

Subject to conditions and exemptions under the UAE PDPL or applicable international privacy frameworks, you may exercise the following rights:

    - Rectification: Request correction of inaccurate or incomplete personal records.
